10 Reasons why they can’t see your emails

Dec 17, 2024 | Uncategorized

I recently came across a unique problem that disrupted email workflow between businesses. This IT problem was unique to a company that owns multiple domains for its subsidiaries.

If you’re like me, then you know that these problems are frustrating and that there are not enough articles on what you can do to fix them. Below are the areas we investigated to get their email accounts back up.

10 reasons why an email address cannot send to a specific domain address

Potential reasons why an email address cannot send emails to a specific domain address while other emails work:

  1. 1. IP Address Blacklisted – The sender’s email server IP is on a spam blacklist used by the recipient domain.
  2. 2. SPF Record Failure – The SPF (Sender Policy Framework) record for @yourdomain.com isn’t properly configured.
  3. 3. DKIM Misconfiguration – Emails from @yourdomain.com fail DKIM (DomainKeys Identified Mail) checks.
  4. 4. DMARC Policy Issue – The sender domain’s DMARC policy blocks delivery due to SPF/DKIM alignment failure.
  5. 5. Recipient Domain Filtering – @otherdomain.com has security filters blocking @yourdomain.com specifically.
  6. 6. Firewall/Spam Rules – The recipient’s email server firewall or spam filters reject messages from the sender.
  7. 7. Greylisting – The recipient temporarily rejects emails as an anti-spam measure, but retries aren’t occurring.
  8. 8. Blocked IP or Domain – The recipient domain has manually blacklisted yourdomain.com or its IP address.
  9. 9. Invalid PTR Record – Reverse DNS (PTR) lookup for the sender server IP does not match the domain name.
  10. 10. Attachment or Content Policy – The recipient blocks specific file attachments or message content triggering filters.
